This training guide helps Dover Free Public Library staff understand how we send weekly community updates using WhatsApp, SMS, ChatGPT, and GoHighLevel. It supports the Loom videos already shared — use it as a written reference when preparing messages, sending SMS reminders, or checking conversations.

What this system does

The Dover Library Messaging System helps us keep the community informed about free programs, events, and resources. We use two main communication channels:

WhatsApp

Weekly calendar update. Used for the main weekly schedule.

SMS

Quick event reminder. Short reminders, special events, flyers, and quick updates.

The main rule

WhatsApp = weekly calendar update. SMS = quick event reminder. Keep them separate and you'll always know which one to use.

Current training phase

For now, Ariel/Admin will manage the automation side of the system. Staff will focus on:

  • Reviewing event information
  • Checking contacts
  • Sending SMS reminders
  • Checking conversations
  • Reviewing messages
  • Learning the process step by step

Once the team is trained and comfortable, we can decide together which additional parts staff should help manage.
