Weekly WhatsApp Workflow
AdminThe weekly WhatsApp update follows a simple four-step flow. This page shows how the pieces connect. Ariel/Admin runs the whole flow.
The four steps
- 1Approved template message. The week starts with a pre-approved template message sent to contacts. This is the only way to begin a conversation on WhatsApp.
- 2User clicks or replies. When a contact taps a button or replies, the 24 hour window opens.
- 324 hour window opens. During this window, regular free-form messages can be sent back and forth — staff can take over replies here.
- 4Full weekly update sends. The complete weekly calendar update is delivered inside the open window, with all upcoming events and the calendar link.
Admin-handled
The template send and the weekly update are both triggered by Ariel/Admin through the automation workflows. Staff step in only during the open 24 hour window to reply to contacts.
